Key Guidelines for HubSpot Organization

 

  • All contacts must be assigned to a team member.

  • All companies must be assigned to a team member.

  • Communication with customers or potential leads must always be attached to the contact and deal, so that everyone can check and track the status.

  • All available properties that you have the information about should be filled out.

  • In case you have any doubt on how to complete or organize a new register, reach out to a sales and marketing team member.

    Contacts Level

    1) Job Applications:
    When a job opportunity is posted, all applicants' information will be stored in the system until a hiring decision is made. Once a candidate is selected, the remaining applicants' data will be deleted within 5 days.

    During the hiring process, applicants will be assigned to the position owner (team lead) for review. It's important to manually clean up any unnecessary contacts after this period.

    2) Form Submissions:
    When someone submits a message through our website regarding a receipt issue, the message will remain in our system for 5 days—enough time for our support team to resolve the issue. After 5 days, an automated workflow will delete both the message and the contact.
